Howdy CVAR – We Need Your Help – Time to Step Up

We are in need of a couple of volunteers – Radios and Sponsorship. Please take a look and reach out to the individual listed with interest of for more information.

1. Radios Volunteer:

CVAR needs someone(s)  to take over the radio manager duties for a season or two, beginning in 2025. This volunteer position will have a stipend.

Will you help? It’s easy, but takes some effort before (couple hours), during (a few hours), and after a race (a few hours). Training and backup support will be provided – NO EXPERIENCE REQUIRED – just attend each event.

Radio Manager Duties – 4 Events per Year

Pre-event 

  • Ensure all radios and repeater power supply are fully charged

Event

  • Transport all communications equipment to the event venue (8 cases)
  • Setup the base station and antenna in Race Control – typically Thur evening
  • Setup/test repeater equipment daily at the antenna site (ECR only)
  • Setup is typically 30-60 minutes before “Cars on Course”
  • Distribute handheld radios at the safety marshall meeting (could be assigned to Flag 1 or a corner worker each day)
  • Collect all handheld radios at the end of the day – same comment as above
  • Remove repeater equipment from antenna site daily
  • Charge all handheld radios and repeater power supply daily after Cold Track

Event End

  • Gather and pack all communications equipment into their appropriate cases
  • Record/tag any malfunctioning items (headset and handheld radios) for repair
  • Transport all communications equipment back to your storage location

Post-event

  • Fully charge all handheld radios and repeater power supply
  • Wipe down all headset ear cushions
  • Facilitate repair of broken/malfunctioning equipment 

Radio Equipment (11 separate cases) –

  • 38 Handheld radios in 3 separate carrying cases
  •   5 Spare batteries for the handheld radios
  • 28 Headsets in 2 separate duffle bags
  •  1  Base Station w/power supply and magnetic mount antenna in a single case
  •  1  VHF Analog Repeater and Rechargeable Power Supply in a single case
  •  3  Handheld radio charging banks
  • 1 – 18 gang unit in a dedicated carrying case
  • 2 –  6 gang units in dedicated suitcases
  •   1 Various cables/adapters and an emergency repeater antenna


2. Sponsorship Volunteer:

Responsible for the acquisition and maintenance of sponsors and/or vendors for the organization and/or events. Oversee the planning and strategy related to sponsorship programs, including identifying, cultivating, and developing prospective sponsors, developing and negotiating contracts with Board oversight, and providing account management.

Responsibilities:

  • Generate sponsor programs and opportunities along with associated pricing levels within CVAR. Examples for sponsorship include Corporate Members, Timing and Scoring Sheets, website, Track Rabbit, dinners and socials, winners podium, annual and drivers meetings, etc.
  • Develop a relationship with current and potential sponsors and vendors. 
  • Manage existing sponsor contracts and update the sponsors as required by contract.
  • Work collaboratively with the Board representative on presenting new and renewing contracts for Board approval. Provide an update to the Board twice a year on the program.
  • Work with the CVAR Treasurer on funds related to sponsor contracts.
  • Work with marketing  and website volunteers, or other CVAR volunteers as required, to ensure sponsors are recognized based on their individual contract.
  • Ensure sponsor contracts are adhered to and ensuring implementation of all sponsor agreed upon requirements. Use of additional volunteers is encouraged. Examples include the Winners Circle banner being brought and placed at events, working with timing and scoring sheets receive proper logos, providing the proper logos to the webmaster.
  • Utilize additional CVAR members with links to any potential sponsors in assisting in relationship building and management.
